Privacy Policy
When you visit screenmi.nl or use the ScreenMi CMS platform, we receive information about you. This privacy policy explains what we do with that information. We always handle your data carefully and store it securely. Questions or requests about your data can be sent to [email protected]. We may update this policy from time to time, so we recommend checking it periodically.
Applicability
This privacy policy applies to all personal data we process through the ScreenMi platform, including screenmi.nl, the CMS, and the dashboard. It covers everyone who creates an account, uses our services, or visits our website — including account holders, team members, and visitors.
Personal data means any information that can be linked to you as an individual, such as your name, email address, IP address, or usage behaviour. For more information about personal data, visit the website of the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Information We Collect
We collect information directly from you when you create an account, use the ScreenMi platform, or contact us. This includes your name, email address, organisation name, and account credentials.
We also collect usage data automatically — such as IP addresses, browser type, pages visited, screens managed through the CMS, content uploaded, and login activity. This helps us provide, maintain, and improve the service.
How We Use Your Data
We use your personal data only for the purposes for which we are permitted to use it. Our primary purpose is to provide and operate the ScreenMi CMS service — including managing your account, enabling screen and content management, processing payments, and sending you service-related communications.
We may also use aggregated, anonymised data for analytics to understand how the platform is used and to improve it over time. We do not use your data for automated decision-making or profiling.
Data Retention
We retain your personal data for as long as required by law and for as long as necessary for the purposes described in this policy. As long as your account is active, we keep your data in accordance with applicable legal retention periods.
After your account is closed, we retain minimal data to fulfil legal obligations — for example, financial records are kept for seven years as required by Dutch law. Any data retained beyond account closure is used solely for legal, statistical, or dispute-resolution purposes.
Data Sharing
We do not sell your personal data. We may share your data with trusted third-party service providers who help us operate the ScreenMi platform, such as hosting providers and payment processors. These parties are only permitted to process your data on our behalf and in accordance with our instructions.
All data processing takes place within the European Economic Area (EEA). If required by law, we may also disclose your data to competent authorities. If you have questions about how or with whom we share your data, please contact us.
Data Security
We take both technical and organisational measures to protect your data. The ScreenMi platform uses encrypted connections (HTTPS), strict access controls, and secure storage to ensure your data does not fall into unauthorised hands.
Only authorised personnel have access to your personal data. When we share data with third parties, they are equally required to handle it with the same level of care. If you notice that this is not the case, please let us know immediately.
Your Rights
Because we process your personal data, you have several rights under the GDPR: the right to access the data we hold about you; the right to correct inaccurate or incomplete data; the right to have your data deleted ("right to be forgotten"); the right to restrict how we use your data; the right to receive your data in a portable format; and the right to object to certain types of processing, including direct marketing.
To exercise any of these rights, send a request to [email protected]. You also have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). We aim to respond to all requests within one month. If a request is complex, it may take slightly longer — we will let you know.
